  • 1.  separating Crystal report to multiple PDF's

    I know I can save a crystal report to a single PDF file but I am looking for a way to separate the crystal report or PDF to different files based on the report's groups.

    So for example report 'xx.rpt' prints out 10 pages and has 4 groupings - I want it to be able to distinguish the groups and export each group into its own file to create 4 different PDF's with file names unique to the value of the grouping.
    Is this possible?

    Look into (i.e., Google) PDF burst software. One example is PDF-eXPLODE.

    We use AutoSplit Pro to burst a large pdf file of 200 invoices into individual PDFs each month.  We have an SL field on the Crystal report from the customer table that indicates how we want to name each individual file, and use a fomula to append a month and year.  In our case, we didn't want this file name to actually print on the invoice, so we used a white font for the field on the form, rendering it "invisible".  Then we tell AutoSplit where this field is on the report, and the program uses it to name each file during the split process. 

    Was easy to set up and works great.

    Thanks for your suggestions!! they have pointed me in a good direction and after some googling I have discovered software that can take a crystal report, split it out by grouping and email them using fields in SL.
    To back up a little we don't use Quick Query for emailing invoices because we have 3 different formats for our invoices depending on which customer the invoice is being created for and Quick Query doesn't allow you to select a format as far as I know.
    Does anyone use any of the crystal bursting softwares and have any recommendations in this regard?

    Hi Tracy,

    If you want to use quick send for your invoices, I would consider looking why are you're doing invoices in 3 different formats.  If it is a must have the 3 different formats then I would look at trying to make the invoice in crystal have all 3 formats in 1 invoice and no print 2 of the formats based upon maybe the customer class or some field at the customer level.

    I'm a big believer in simplicity and making things easy.  I would try to create 1 report that handles the invoicing in a way that works and use standard SL.  Once you start adding outside software, upgrades and changes may get more challenging.....

    Just a thought....

    I use Knowledge Sync to do that on a regular basis, usually for scheduled reports that need to be parsed (by project manager, for example).

    It usually requires a small customization to the report to add a parameter field that will be used for the parsing, but that's easy to do.

     

    You can also have it send the report as an excel file rather than PDF.

    Hi Tracy,

    Please feel free to take a look at Liaison Messenger EDD.   www.liaisonsc.com/sol_fordynamicssl.html

    Messenger EDD could address both issues you've presented: 
    1)  It could burst 1 PDF into individual PDFs using data in the report and then distribute the report if you'd like - print, email, archive, etc.

    2)  It could also allow you to use multiple Crystal Reports for distributing Invoices based on certain conditions. With Messenger EDD you would "print" through your normal print procedure in Dynamics SL, no training required from the end user perspective. Messenger would start by using the Crystal Report associated with that print selection. We would then easily set up rules (filters) associated to the alternate Crystal Reports and trigger the appropriate report(s) based on data processed in the initial report using the Customer ID, Class, Invoice type, etc. to filter off of.

    Messenger EDD has many additional features related to business form and report distribution including the ability to attach both static and variable attachments. For example, when Statements are processed merge all Invoices listed on the Statements into 1 PDF and then distribute it to the customer.

    ​We are looking into purchasing software that does PDF Bursting.  Does anyone have any suggestions for which product they use or like?  I see that pdf-explode & autosplit pro were mentioned so we will check those out but welcome any other suggestions to investigate :)  Thanks so much!
